WP5 – Management and Dissemination

Objectives

This Work Package is dedicated to the management of the Topical Team, ensuring effective coordination, monitoring, reporting, and dissemination of activities and results in line with ESA requirements.

Tasks

Task 5.1 – Financial, Legal and Administrative coordination

Preparation and submission of the Reporting. Coordination, planning of activities and preparation of meetings (timeline to be established) and their reviews.

Task 5.2 – Progress monitoring and risk management of the project

Project monitoring will use deliverables and milestones to measure project progress and reassessment. Risk management includes identification of potential risk and definition of mitigation measures.

Task 5.3 – The strategic management of the project

The organizational structure consists of the Coordinator and the General Board (GB). The GB is composed of WP leaders. The Coordinator and GB will share responsibility in monitoring the progress of the Project flows according to the Milestones plan and in defining budget spending.

Budget spending criteria: 1) added value for participation; 2) status (MSc students, PhD students and non-structured personnel will be favored); 3) equal distribution among partners; 4) equality, inclusiveness and diversity standard.

Task 5.4 – Dissemination and communication strategy and tools

Identifying relevant communities composing the topical team target audiences and defining communication messages and channels. Activities include the creation and maintenance of a public website, building an online community via social media, blogs or forums, preparation of press releases, production of a dissemination video, promotion of results on websites and social media, and development of synergies with major European and ESA initiatives through joint publications, trainings, conferences, and events.

Risks & Mitigation

  • Delay in reporting activities and financial aspects. Mitigation: Valerie Tommen, in charge of assembling reports, has experience in previous Topical Team management and will be supported by the General Board.
  • Dissemination and communication KPIs. Mitigation: Elena Novoselova, former communication lead of the EU Graphene Flagship, will oversee the dissemination strategy with support from the ESA communication office.
